Tip of the Day: If you just got engaged over the Holidays take your time and enjoy it for a little while. Depending on how soon you are getting married of course. Once all the excitement settles down....Set a Date, make sure you think of a few alternate dates as well allowing a little wiggle room for Venues that are already booked on your date. This will help cut down on disappointment.

What A Year It Has Been For Weddings!

What a year it has been for weddings.....those are the words I seem to sputter out when I reflect back on 2011.
Party Planners Plus has had some great brides and grooms this year and really for the most part enjoyed helping in the planning of their events. I will miss them all again, as I do in years past, because of the friendships we build with our clients is priceless.

A Trend in the Wedding Business.........Brides are more humble, not all, but most that I have worked with were so thankful for any and everything they had at their wedding. Let's face it, the economy still isn't the greatest....most are still pulling money paycheck to paycheck to make sure the vendors get paid and that their vision of the perfect wedding that reflects their style is being carried out to the fullest....all of this while staying in budget....not so easy for them or for me.

Party Planners Plus has had a tremendous year full of tears, laughter and heartbreak in 2011 from brides and grooms along with some of their parents. They have all been wonderful and I just wanted to take this time in the Blog at Party Planners Plus to yell out a big Thank You to all of them.

Booking Your Officiant On Time...

Booking your Officiant should never be the last thing on your to-do list.

So you have said I Do, looked at Venues to decide which one best fits what you want your wedding to be. Chose your colors and theme, tasted bunches of yummy food and designed your cake. Dress is ready and the time it took to pick out the flowers and the shoes.....Do you really want to try to book an Officiant with only a month left before your Wedding????

I know...I know it is the last thing on your mind, but really...that my wonderful brides to be should be one of the first things on your mind. Think of it this way, you really would never hire a Wedding Planner or DOC without sitting and meeting with them to make sure that you all feel comfortable with working together. You wouldn't call a cake designer and tell them just make me this cake, no you would want to sit with them and talk about what cake flavors you love and taste the samples right???
Then why do so many Brides wait to chose the one person that is going to be there to make it happen for you, the one person that will guide you through your words to each other and above all...sign your marriage license. Understanding that this person, your Officiant will be there to help create a ceremony that is truly yours, but it takes time and only giving a short time-frame means chances are you are going to get a copy of a ceremony that so many couples have used before. Nothing really wrong with it if you want just a quick
I-DO. Planning your ceremony should be part of the excitement of getting married. Having words and emotions in your ceremony that is truly both of you will make your Wedding Day so much more meaningful.

So here is my suggestion.....Book your Officiant as soon as you know you will need one. I get calls and emails all the time wanting me to Officiate on one of the biggest days of their lives......in two weeks. Hair and Make-up get alot more notice than that.

I hope this helps in remembering to add the Officiant to the beginning of your TO-DO-LIST, you will be so happy you did.

Thinking About Your Venue

Selecting Your Venue

Picking the right venue takes time and effort. Knowing what you want and what you can afford will be a task every Bride and Groom must tackle. I hope to help you in deciding what will fit your personality as well as guest count and budget.

Think about what you both like to do such as Hobbies, Art, Collections, Movies, Dancing and Games.

BOMA

Think where you would like to have the Venue, indoors or outdoors. In a Downtown or Small Suburb area. Do you want your venue to be close to Hotels and Attractions. Brides and Grooms pick this for convenience for not only themselves, but for guest as well.

Wooded Area

Would you like a Wooded area secluded from the city or a Barn Reception out in the middle of nowhere. How about a Country Club or Large Hotel where guest can stay afterwards. The sky is the limit when picking out what type of Venue you would like to have even an Airport Hanger is used for Receptions. I had a couple do their departure on a plan flying over the lights of Downtown Columbus. All the guest were amazed and excited to see them depart the the Reception.

Golf Clubs are another option to look at. Some are secluded away from all the noise and traffic and offer packages to the Bride and Groom containing Menu and Bar, Chair Covers and Table Linens.

Hotels are a choice Brides make because of the ease of having the room to get dressed in and to come back to when the day is done. They offer packages to include everything from Menu to Cake....DJ/MC to Photographer. These can be a bit pricey, and some of the packages may not fit your budget. It is a good idea to meet with the Hotel and discuss what you would like to have or have your Wedding Planner do this beforehand and give you the details of what they can do for you.

Outside Weddings in a Gazebo...every Brides dream. Receptions under white tents with the lights and music. Oh and don't forget the bugs, rain and depending on the time of year cold and heat. I'm not trying to discourage this, but want to make sure before you start dreaming of an Outdoor Reception, remember there can be more cost with one. I love outside ceremonies. Maybe think about having your ceremony outside and your reception inside with an area to be outside if need be.

Parks are abundant in the United States!!! That's the good news, bad news...they have started charging so always check with the Park to make sure your date is available and pay the deposit so that it is saved for you on your Wedding Day.

Brides are focusing more on Family and Close Friends in 2011. Casual Elegance is what I refer to this as.

Finding a Barn can be the hard part unless you already have one. Transforming the structure into a Reception can be the easy part. Long tables of white linens with centerpieces made from glass jars. Comfort food served family style along with a small band and you are set for a Party....except never forget all the other things you will need to pull this off. Everybody has to use the bathroom, so you will need to make sure there is enough Port-a-Pots to go around and put in a place not to far, but hidden out of site...unless you can find some really cute out-houses to rent. Electricity for lighting may also need to be found as some old barns do not already have it . I would never discourage this, I love Barn Weddings. Just knowing what is needed to pull this type of Reception off is critical to the event running smoothly for you and your guest.

Happy New Year Everyone!

2010 surely was a year for ups and downs in the Wedding Market and for the Brides and Grooms planning their events.

2011 is already looking to be a better year in some sense of the word. Here is my take on what to look for in the begining of 2011 for Wedding Trends.

Look for 2011 Brides to be more aware of what they will be spending on their Wedding Dress

Watch for more metallic again, but with a more toned down look with a matching color such as....Metallic Copper as the accent color with lighter browns and navy's

More and More Comfort Foods are already being talked about. Family Style wins big with Small Weddings under 100 guest

Small centerpieces, some with just a flower or two to add color (some brides are giving this up to put towards a Wedding Planner, Photographer, Florist or Transportation.

"OMG.... where has the year went"
These are the words being muttered everywhere. Brides are finding that they are running out of time in preparation of their Spring Wedding in 2011.
Here are a few tips to help you get organized and ready to hit the aisle:

Check and make sure your guest list is ready: to many times we think it is ready to go and all of a sudden you forgot about addresses

Check with your Venue: Go ahead and call them up and make sure you and they have done everything that is needed to make sure your Wedding Day is perfect. Sometimes little details can be missed in the beginning of your planning that need your attention now

Be Kind to the Bride...she can't predict the weather!

Wow.....what a May it has been!
May weddings are behind me now and I will miss all of my couples.
Heat played a big part of the weddings in May, we are in Ohio so you never know what the weather will bring.

Last Saturday, the 29th of May was so hot and Erika and Matthew had an outside ceremony at a local Park at the Gazebo. The day was beautiful no rain in sight, but the heat was horrible.
The bride held up wonderfully and never complained....the guest, little different story.

When a Bride plans her wedding day, she decides on the month, the day and the time. She goes out of her way to make sure her guest will have the very best she can afford for them. Predicting the weather is one thing she can not do. She can pray and hope for rain to hold off for her outside ceremony, but always have a plan "B". When it comes to cold or heat hopefully the guest will dress the part.

Here is a short list of "DO NOT DO THIS" at an outside wedding no matter how hot or cold you may be.

1. DO NOT......complain because it is cold or hot, DO wear layers so that you are more comfortable. If it is cold, wear your coat, hat, mittens and scarf.
If it is hot, wear cloths that will breath. So many dresses out there now that are so adorable with just a little pair of sandals. Pack a bottle of water...just in case the bride does not provide it at the ceremony.

2. DO NOT......move the chairs. The Bride has worked very hard to line these things up just perfect. Most of the time she may not of seen the set-up beforehand because she hired a Planner/Coordinator to do this and is excited to see the outcome when she walks down the aisle.
When you arrive if you can not be in the sun seek out the Planner or Coordinator or a member of the brides family and ask if you could be in some shade and out of direct sunlight. Let them provide the chair for you so that they can adjust the seating.

3. DO NOT.....complain! If you feel you must, do it quietly so that other guest do not hear you. Trust me it gets back to the Bride and her family. Do you really want your 15 to 30 min. of being slightly uncomfortable to make the Bride cry because you were not in air conditioning.
Bring along a hand fan in case the bride does not already have them on the chairs for her guest. It is always hard to judge the weather in April and May and if budgets are tight, that may be an expense that she can not afford.

4. DO NOT......forget your umbrella! No matter what the weather man or woman says there is always that risk of a sprinkle or worse yet downpour at an outside event.

Be smart at weddings you attend. The invitation will let you know if the wedding is inside or outside and by being prepared not only will you enjoy the Ceremony....so will the Bride by knowing her guest were there to share in the happy day.

Hi Everyone!

I am so excited to let everyone know that Party Planners Plus is getting ready to hold a Bride Seminar!!!

The Seminar will be a 5 hour Class on everything you need to know about planning your wedding. There will speakers from every group of vendors such as Photographer, Cake, Florist, Venue, DJ, Caterer, Hair and Make-up along with hopefully a Small Bridal Gown Show (still working on the details on that)

Congratulations you just got engaged!!! Now what?

The Holidays are past now and so many engagements happened over the Christmas holiday leaving future brides asking the question "what do I do now".
As a Wedding Planner I should be saying "Girl get busy", but instead I am saying
"take a few deep breaths, enjoy the moment and pick a day where you both can sit down and truly talk about what you both want".

Pick a date that you both agree on, dates that are memorable to the both of you (this will make it easier for him to remember your anniversary ladies) such as first date, first kiss or the first time you said I love you to each other.

Figure out what you both are comfortable spending on your wedding, who will help contribute.
Think of where you want your ceremony and reception to be. Should it reflect who you are? Couples today are making big statements in the way they are getting married. Most brides still want a Church Ceremony and a Country Club Reception, others are going for the ceremony and reception in the same venue not only to help cut cost, but to have more of a large Party than a traditional reception.

Start with a summary of guest you would like to invite, feel free to put them all on paper, but be prepared to narrow it down. Weddings for 2010 are forecast to be smaller and more intimate. Brides are learning if they want a more lavish wedding, then the guest list has to be cut. We talked about this in a past post how much you can save by taking off just ten (10) guest, think about what you can do when you subtract thirty (30). Believe it or not girls size does matter.

Have fun planning in the first few months of your engagement, it is such an exciting time. If you find that you are becoming to stressed a Planner can help with all the details while allowing you the fun of picking colors, choosing themes and finding the perfect dress.

The Reception

So, as I told you in the last post the Bride and Groom were introduced. For me this is the beginning of a long night for all of the vendors working this wedding. To many things can go wrong and I need to always make sure I am aware of everything that goes on.

As a Wedding Planner it is up to me to watch the bride and groom throughout the night and watch for signs that they may need something...could be they need the glasses filled again...the glass they just emptied gave them a headache (this is always where the emergency kit I carry comes in handy... again. Watching for signs of any guest in distress or just not having a great time means I need to step in and figure out away to get them to have a great time.

Every bride to be knows more or less what the Timeline for a Reception is so I will not go through it here, (of course if you have any questions feel free to email them to me at nmccoy7801@wowway.com ) I just want every bride to be to know that hiring a Wedding Planner is one of the best investment you will make for your wedding.
Peace of mind knowing that I will be there from start to finish making sure that your day went just the way you wanted it to....without you knowing what went wrong and please trust me...things go wrong!

Dress in hand Yay!!!
Now comes the invitations...some brides believe that they can make them and yes...you can, but always make sure you allow for mistakes along the way.
I try and always help the brides figure out what wording will go on the invitation, this can take time and effort on the bride and groom as well so being patient is key here for a planner. Once the wording is decided for the invite we move onto the the rest such as Response cards..there is quit a few ways to write these up and you have to be careful of the wording or Uncle Harry will bring the girlfriend and her seven children that you are not counting on.
Reception Card...Maps....Hotels and Directions.

Think centerpieces?????? I have had brides change centerpieces several times during the planning stage and that is fine, but be careful of over-spending here. Sometimes I will meet with a bride several times before we get it right.

So much to do so little time left and before you know it the big day is here!
Making sure everything runs smoothly and goes has planned is my job, the brides job is to try and relax, always easier said than done...yes, even with a planner brides will find something to stress about its there nature and I let them go on about it because it is important to them.
Countless hours has went into planning this day for and with them because without the bride it is almost impossible to plan (yes, there are brides that just want to show up which is great too) but it happens and everyone is excited that the end is here and they will be introduced as Mr and Mrs___ and the party begins!!!

What Does a Wedding Planner do for a Wedding Part II

Information is gathered up and put into a folder to keep track of all the little things that go on until the big day. Main Venues and Vendors are secured with deposit and contract so now begins some of the fun for Brides, Grooms and families!!!

Dress Shopping....
Every Bride wants to make sure her dress is the most beautiful dress in the world and it will be...just keep your budget in mind please. There are countless wedding dress shops and also Internet shops popping up all the time. Always make sure to read reviews no matter if it is local or Internet.
Your can ask your Wedding Planner to go with you if you do not have any close friends or family available to help give you a few pointers. Always look through all of those bridal magazines you bought right after you became engaged, cut out pictures of dresses you would love to try on always remembering to check prices along the way so that you keep the dress within your budget. You do not want to try on a dress and fall in love with it if it is in the $2000 price range and you can only spend $600, be realistic, but have fun with it.
Some of the Internet shops are now offering to let you pick a dress, ship the dress, try it on and if it is not right for you ship it back and pick another all in the privacy of your home..could be very time consuming, but could also be allot of fun. I will look into this more and post for you later.

OK....so you have picked out your dress and I was there with you all the way giving you the support on the dress you fell in love with while your best friend really wasn't crazy about it, but you were. I know when my bride finds the perfect dress...when she stands in front of the big mirrors and tears start falling and she looks at her Mother and says "Mom, what do you think"
These times bring tears to my eyes!!!

Dress is bought and we move onto the next journey........................next time I post!!!

OK, I am going to try really hard to let everyone know what I do when I start planning your wedding from day one, keep in mind I may miss a few things here and there, but here goes!

It all starts with an email or a phone call from a bride who is all excited and feeling a bit overwhelmed, she is full of excitement in her voice or in words and I can usually pick this up in her tone and with what she is writing. Most brides these days are relying on email to plan and that's fine with me.

The first email is great (as long as they put enough information in it for me) it goes something like;

Hi my name is ___. I am getting married on ______ and want to know what you charge?
My colors are_____ and ____, and I want to have an elegant, but fun Reception. We are inviting over 200 guest and our budget is $____. Can you let me know if this is doable and what you charge to be our Planner/Coordinator for the wedding and reception. I haven't really done anything yet except the guest list, oh and I did find a church that I want you to check out for me. I would love to have the reception at______ can you call them and set up an appointment for me to see it and find out how much it would be? I got my wedding dress it is beautiful, I can't wait for you to see it! Can you tell me how much this is going to cost? I guess I should find this out first instead of boring you with all the details, can you email me and let me know if you can do our wedding and how much it is going to cost?

From the email I can tell I have a very excited bride who is already thinking about all of the work, but wants to make sure it will fit into her budget to have a Wedding Planner.

First, I email her back and ask if she would like to set up a free consultation? I make sure it fits into her schedule in the evening (most brides do work). We meet at a coffee house of sorts so that we can get to know each other a little and go over some questions she may have for me. I can tell when she is comfortable, because the questions are never "How long have you been a Wedding Planner" or "How many weddings have you done" she digs right in telling me everything she wants and loves and can I help her do that (it is so cute to listen to) When the meeting is over and she knows what my pricing is, I always ask if she would like to think about it for a few days and get back to me...nine times out of ten she wants to sign and give a deposit so that her date does not get taken by another bride. Contract signed...I get to work.

Names of Venues and Vendors in hand I suggest a few at a time so as not to overwhelm her with them. A few are decided and I start calling to make sure dates are available, pricing for this bride and any discounts I may be able to get for her. This can be a process, but one that I hope gets done quickly so that she does get the venues that she wants. (dates fill up quickly). We look over the budget, what she has spent so far. Once she has the venue for the ceremony and reception..it is on to Photography. I offer up a few that I like and that I know will fit into the budget very nicely. If none of the work looks good we look for others until she finds the one she just has to have (problem: they do not always fit with the budget and she may have to take from another part of her budget to have this photographer, but we can make it work).
Next, onto Florist...same here, I offer a few that I think will fit with her style and budget. Numerous pictures are sent from her in emails until she finds just the right bouquet she is looking for. If it is a go than we start dealing with a few of the florist she liked and we start the process of seeing if we can get these to fit into the budget. Then comes the Cake and the Dj or Band. All of these things take time and countless hours are spent on the Internet and phone.

How will you know if you need a Wedding Planner? If you are reading this you must need one. Brides today are rushed for time due to the work schedules they keep. It is hard to plan for a wedding, work 9 hour days and if you have children, just keeping up with the schedules of sports is enough to send a bride over the wall.

Hiring a Planner is more than likely the best money you can spend on your wedding, not only to save you money, but to give you the time and energy to spend enjoying everything that leads up to your big day.
Working couples today do not always have the time to meet with each vendor, to taste every cake and listen to every band.

A few questions to test yourself if you need a Wedding Planner

1. Do you work a full time job?

2. Does your Groom work a full time job?

3. Do your families work full time jobs?

4. Are you in School?

5. Do you have children?

If you answered yes to any of the above questions then more than likely you would benefit with a Wedding Planner.

How many times have you said "When I get married, I want...."? Now you are getting married and the Budget comes into play and you come to the realization that what you wanted isn't in the budget at all. What can you do ... "Cut your guest list by 10 guest" that's right, if you cut your guest list by 10 guest you could have enough left in your budget to splurge on something you really wanted for your Wedding Day. Here is a sample of what happens...

Food and Bar $60.00 per person = $600.00
Chair cover & Sash $ 4.00 per person = $ 40.00
Centerpiece $60.00 per table = $ 60.00
Invitations $ 5.00 per invite = $ 50.00
Programs $ 2.00 per person = $ 20.00
Favors $ 4.00 per person = $ 40.00
Cake $ 5.00 per person = $ 50.00

Just what I have listed (and it still does not cover everything) can save you $860.00!!!
That could be enough to get something you didn't think you could afford such as the Limo or Carriage you always dreamed of, the upgrade on the photography. The possibilities are endless when you take away just 10 guest, 1 table.

Look over your guest list many times and think about things such as.....

When is the last time I spoke to or saw.......
Do I really need to invite my friends...friend.....
Do all my co-workers really need to be invited....
They are just Business acquaintances......

You get the idea, so dig into that Guest list and mark off some of those guest so that you can have the one thing you have always wanted for your Wedding Day.

What's been going on in "My Life"
I have been busy with weddings and family. We welcomed another Grandson into the family on August 5th. He is adorable and on September 8th we welcomed yet another Grandson who is equally adorable. This has kept me very busy along with the weddings that I love doing.
I hope to post pitures soon of past weddings and of Grandchildren soon. We will be welcoming another Grand-Daughter in October....I am so excited!

June Weddings

Hi Everyone,
May weddings are over and June weddings are halfway there. My last one for June is June 27, 2009 and I am excited about that. There is something so exciting about a June wedding. It use to be the month all Brides wanted to get married in, this year I only had (have) two booked which is fine, it seems May and September are taking over the spot light on wedding months. Next year I already have three weddings booked for May 2010 and two in September 2010 and none for June yet (I say yet because I really hope I get a couple June weddings for 2010)
The trend seems to be to pick an off wedding month and Brides seem to be listening to the advice of experts. The venues and vendors are less inclined to charge as much and for a bride on a tight budget that is music to their ears and to mine.
Party Planners Plus has been getting allot of out of state brides lately. Columbus seems to be a central location for a few reasons... airport, location of venues and price.
DYI Brides are starting to realize that although they can and do most of the work for the big day, a Day of Coordinator can and does take so much of the stress off of them. The hard part for me is the decor that they have come up with and want me to make sure it goes together exactly how they want it. This is all fine, I love seeing what they come up with, but sometimes it doesn't always come together the way they envision it would. It could be something as slight as they didn't measure exactly right on lights for the reception or the tulle for the ceremony is not going to reach down every pew. These are just simple problems that can be solved ahead of time if they make sure they communicate with their planner ahead of time. For my Day Of Coordination Package I like Brides to start letting me know all the details a few months ahead of time as to what they are wanting done as far as the decor (yes I do this myself along with my staff) Waiting till the last minute is just asking for problems and problems is the last thing a bride needs on her most important day of her life. So please always communicate with your Planner any and everything that you plan to do yourself, but want her or him to implement for you.

Getting Through the Hard Times

Hi Everyone,

This year has really been a challenge so far. The economy sucks (excuse the word), but it really does. I feel so bad for all the people losing jobs, being laid off, not having insurance and wondering if the economy will ever pick back up. It is the same for Wedding Planners and everyone in the wedding industry. Yes, I know that there will always be Brides and Weddings, but the economy has hit all of them very hard.

It has been a challenge to me lately making sure my brides get what they want at a price that fits into the budget. I generally start with a bride 12 to 18 months before the wedding and they know what the budget is at that time, but then hours are cut or a layoff happens and the budget has shrunk in size and it is up to me to make sure I can still fit in everything they need and sacrifice some of the wants for them. I feel like I have shattered a few dreams lately and I do not like that feeling at all.

Finding the perfect venue and vendors for everything never seemed as difficult as it does today. I have cut the prices of my packages to help out with some of the expense. The hardest part is letting a bride know that as much as she wants something it can not happen unless she is willing to give up something else.

Wedding Planners have hearts and mine breaks for my brides when they can not afford something that they really want. I have begun to take the let's try it and see approach...

Switch to this to have that...let me explain a little so that you understand...

Go with the White table linen that your venue has or rent them at very low prices. White can be the backdrop for everything else. Overlays become expensive and adds to the budget. Think of ways to incorporate your color into the table without spending a fortune....

Rose petals (sprinkle them all over the table not just by the centerpieces)
Gems (acrylic and shiny, sprinkle them all around in your shades)
Leaves (Go outside and be creative in the size, either to sprinkle or to lay flat on the table)
Grass (think green...it is free and everyone will welcome you to cut the grass)
Flowers (be it silk or real hit the stores buy clearance, if real let them dry, instant wow)
Candles and votive holders (change from a white or ivory candle to the color of your wedding)

Check websites for clearance items (I do this for my brides)

Wow, My first year as come and gone, it's great!

My first year as a Wedding/Event Planner was everything I dreamed it would be. I have to thank my family for all of the help they offered without getting paid. I feel bad I did work them hard, but in the end...each wedding I did was so beautiful and something we could all be proud of.
My brides...I have to say I adored each one. They were all so different and each wedding so different that it gave me so much insight into what brides are looking for. They want the elegance of a grand affair, but they want the price of a low budget affair and I worked so hard to make sure that what they wanted was done and on the budget they had to spend.

My son's wedding is my last one for this year and I have to say I am so excited! It is a winter theme, with the blues and silvers with glimmer whites and sparkle. The guest list grew some now around 160 guest, but with all the ways I have learned to save on everything it is alright, no stress, except for the fact that he is my baby boy.

I already have a few weddings booked for next year and I am just as excited to really starting to pull them together. My bride in CA. was here in July and we had a wonderful time together with her family at tastings, photographer and florist. Hers will be an outside wedding in April, working on the tent to make sure it will be big enough and securing a heat source as well, in Ohio it could be snowing in April.
